Sales and Marketing Personal Assistant

Location: Reading

Position Purpose: Supporting, administrating and coordinating activities within the Business unit of sales and marketing operations. Provide full PA support to to Head of SMO and Head of LifeHub UK. Role will be based at client head office.

Major Tasks and Responsibilities of the Position

Provide a full PA service to Head of SMO and Head of Life Hub, coordinating agendas and activities in a proactive manner. Activities include:

- Supporting management of agendas and Diary Management

- Expenses

- Meetings set up

- Travel requirements

- Visitors database

- Organizing and coordinating SMO meetings and offsites as needed

- Driving agendas for regional and global stakeholders visiting the LifeHub UK

Working with SMO-LT and contributing as required with support to selected key projects within SMO, which might include communication activities, improving ways of working, managing content, simple analysis, etc

Support administrative duties to the wider SMO organization, including activities such as:

- Ad hoc travel including booking flights, hotels

- Raising and managing POs

- Meeting Room bookings

- Looking after SMO refreshments

- Keeping mailing groups up to date

- Scheduling and coordinating SMO led meetings

- Keep fully appraised of relevant SOP/procedures throughout Bayer plc to ensure compliance

- Manage the movement process relating to all personnel moves within SMO Assist with coordination of Life Hub activities (eg. new starters, leavers etc) working closely with respective line manager.

- Coordinate SMO sharepoint

Supporting operations within the Life Hub UK as required by the LifeHub UK head.

Position Skills/Experience/Qualifications:

  • Ability to manage competing priorities and be proactive anticipating needs from SMO/Life Hub Uk head
  • High Organisational skills and hands-on, with ability to manage complexity and different requests at the same time from different stakeholders
  • Digital networking and systems experience
  • Previous PA experience
  • Awareness of Social Media & analytics
